COMMITTEE 2025
The Club Committee is a small group of nominated and elected volunteers, each of whom has a specific area of responsibility.
From managing finances, to looking after the equipment, to processing memberships and even down to the essential details like ensuring there is enough food for our meetings, each Committee Member plays a critical role in the Club’s livelihood.
One of the club’s promotion criteria, is to serve on the committee. Many of of committee members have been on the committee for a period of years, and we encourage willing members, new and old, to stand for this role.

- To provide leadership.
- To ensure the Committee functions properly, by overseeing and ensuring smooth operation of all the various portfolios.
- To ensure the club is managed effectively.
- To provide support and supervision to the committee.
- To represent the club as its figurehead.
- To ensure the club members needs are met
- To ensure that the judge is familiar with our operation on club evening
- To ensure that we have a judge for the evening – or allocate someone
- Ensuring that all relevant information is shared to the committee and club
- Checking of all entries with tools designed to highlight any images that have been entered before. This sorted and consolidated data will be used in the Versatile competition at the end of the year
- To maintain club monthly scores and promotions
- Receive the monthly grading scores from the responsible person and update the scoresheet
- Receive any salon acceptances and update the scoresheet
- Send a “printable copy “ of the scoresheet to the Newsletter Editor and Webmaster
- Provide backup and assistance with PC projection, score capture and public address systems

Vice-Chair
- Assist the chairman in organising the work programme of the committee to which they have been appointed.
- The vice-chair stands in for the chair and helps with difficult decisions between meetings.
- The chairs should liaise regularly with the vice-chair and ensure he or she knows enough about the current issues within the organisation to be able to stand in at short notice.

- Manage Day to Day financial operations
- Ensure Club subs are paid by due date
- Liaise with members re payment of their subs (payment arrangements)
- Keep track of all expenses & income and ensure these are correctly filed
- Prepare Financials for AGM
- Have a summary of financials at every Committee meeting
- Keep a list of the clubs assets
- Managing the tuck shop expenses and income

- Ensuring meetings are effectively organised and minuted.
- Liaising with the Chairperson to plan meetings.
- Communication and correspondence and managing the clubs enquiry e-mail address (info@benonicameraclub.co.za)
- Preparing agendas with the chair and consider suggestions from other committee members
- Making all the arrangements for meetings (booking the room, arranging for equipment and refreshments, organising facilities for those with special needs, etc.)
- Record attendance at meetings
- To maintain all club records and administration
- Ensure comprehensive welcome pack is sent to all new members
- Send a reminder notice of each decision requiring action to the relevant person; this can be done by telephone, or by an ‘action list’ with the relevant action for each person duly marked.
- Prepare a draft of the minutes (unless there is a minutes secretary) and consult with the Chairperson for approval

- Assiting PhotoVault administrator, and learning the inns and outs to take over the role
- Maintain the readiness state of club assets, including but not limited to main projector, secondary projector, club laptop, screen calibration equipment and generator
- Ensure optimal layout for club evenings, e.g. projector distance and sound equipment setup
- Generator fueled and ready when loadshedding schedule indicates
- Ensure availability of assets as per workshop requirements (e.g. laptop and projector)
- Specify replacement hardware due to failures/opsolescence
- Custodian of store room keys

- Access the clubs requirements for outings and discuss with Committee
- Arrange various outings for the Club.
- Collude with other clubs on outings
- Be on the lookout for Outing opportunities and share them with the club on the two platforms, WhatsApp and Facebook.
- Accepting / Declining new Facebook members
- Assess the Clubs needs for Training, and discuss these with the Committee
- Look for and arrange workshops
Outings and workshops are structured to provide members with different opportunities to challenge themselves photographically while socialising with and learning from one another in a fun and safe environment.
